This article provides an overview of the fundamental governance features of Seamless and shows how they enable automation and structure in daily work.
Automated Governance for Order, Structure and Efficient Collaboration
Microsoft 365 offers powerful collaboration tools. Without rules, however, Teams quickly become messy, SharePoint sites scattered and guest access uncontrolled.
Seamless solves this problem with clearly defined rules for creating, using and archiving Teams, SharePoint workspaces and guest access. Workspaces are created in accordance with corporate rules — and remain compliant throughout their entire lifecycle.
This also applies to external partners: from controlled invitations to expiration and review processes, all the way to automated removal of inactive guests or invitations that are not accepted.
This provides a solid foundation for order, structure and compliance in collaboration.
Templates & Provisioning
Seamless offers individual templates for each organizational unit for:
- Microsoft Teams
- SharePoint Sites
- Viva Engage Communities
- Microsoft 365 Groups
When a user selects such an organizational template in the Seamless Teams App, Seamless provisioning automatically creates the correct workspace with rules for:
- naming conventions
- guest access & visibility
- roles & permissions
- channel structures and document libraries
- governance & lifecycle
- archiving
If more control is required, provisioning only starts after approval by managers, departments or IT (see below).
Naming Conventions
Seamless enforces naming conventions automatically — for example using:
- project numbers
- organizational prefixes
- usage types
- custom strings
Visibility & External Sharing
Organizational templates also control visibility (public or private), external sharing and guest access.
Ownership and Permissions
Seamless anchors ownership as a core principle: every workspace has a responsible person — independent of their technical permissions. They do not have to carry out everything themselves, but they are visible, reachable and accountable for their Teams and guests.
Ownership features
- Flagging Teams without a responsible person
- Flagging Teams with no or too few owners
- Responsible person must confirm renewals and resolve violations
Permissions
- Standard permissions for owners and members
- SharePoint permissions on site and document library level
Approval Process & Compliance Checks
Approval workflows are controlled per organizational template.
Approval options:
- direct creation
- creation restricted to security groups/users
- approval by IT admins
- approval by business or line managers
Compliance Checks continuously evaluate:
- renewal
- inactivity
- ownership
- template & policy violations
- notifications to responsible persons & IT
Inactive and Non‑Responsive Guests
Automatic detection of inactive guests
Inactive guests are flagged, blocked, removed or permanently deleted after defined periods.
Non‑responsive guests
Invitations not accepted within a defined timeframe are automatically removed.
Effectiveness increases further when renewal policies apply in parallel.
Renewal and Archiving
Seamless ensures inactive Teams and guests do not remain indefinitely.
For Teams:
- Owners must renew
- otherwise: read‑only → archiving → deletion
Key archiving options:
- set to read‑only
- remove permissions
- delete document versions
- empty recycle bin
- archive the team
For guests:
- Owners must confirm
- otherwise: block → remove
Self‑Service Teams App
The central control center for users:
- Single‑point‑of‑entry for collaboration across the organization
- Create and manage teams
- Invite guests and manage access
- Approve or reject approval requests
- Perform renewals
- View responsibilities
This makes governance visible, understandable and simple.
The Effect: Order Becomes Effortless
With Seamless, collaboration becomes:
- fast to start
- consistently clean
- secure by default
- automatically compliant
- simple for users
